In the food industry, label verification is much more than a final administrative step in the quality process. It is a critical control measure within food safety and QA, with a direct impact on consumer safety, compliance, and the risk of recalls. Yet in practice, it appears that the inspection and verification of labels in particular remain a systemic weak point within many organizations.

Label inspection comes too late in the process

A key pitfall is that label checking is still too often viewed as a separate final step, rather than an integral part of comprehensive product and change management. When labeling is not checked until the very end, there is a risk that previous changes to the formulation, raw materials, or process parameters will not be correctly reflected on the final label. This results in the label not always being in sync with the current product specification, which can lead to serious non-conformities, particularly regarding allergen information and mandatory declarations.

Version control and approval processes are inadequate

A second recurring problem is the way label versions are managed. In many organizations, multiple versions of the same artwork exist side by side, and it is not always clearly established which version has actually been released for production. When approval processes are fragmented or insufficiently digitized, there is a risk that outdated or unauthorized labels will be put back into use. This can lead to errors in ingredient lists, allergen labeling, or regulatory claims, with a direct impact on compliance and brand trust.

Furthermore, in practice, change control is often insufficiently linked to label management. Changes in raw materials, suppliers, or production conditions are not always automatically assessed for their impact on labeling. This poses an increased risk, particularly with regard to allergens, because even minor changes in origin or composition require a revision of the labeling.

Limited Effectiveness of Monitoring During Production

Risks also arise during the production process itself when label verification is insufficiently integrated into the operational workflow. In situations where checks are primarily conducted before or after production, errors—such as the use of the wrong label or an incorrect configuration of printing or application systems—may not be detected until it is too late. This increases the likelihood that non-compliant products have already moved further down the supply chain before the error is detected, which significantly amplifies the impact of corrective actions.

Manual inspection remains a weak link

Finally, many organizations continue to rely heavily on manual label checks. Although human inspection remains essential within any QA system, it is not robust enough on its own in high-volume environments with frequent changes. Manual checks are prone to routine errors, limited observation points, and variations in interpretation among employees. Without digital support and structured validation of the inspection process, there remains a risk that deviations will not be detected in a timely or consistent manner.

From Fragmented Checks to Integrated Management

The root cause of many of these pitfalls lies not only in the execution of checks, but in the extent to which label information is scattered across different systems and departments. When data related to recipes, specifications, and artwork is not managed centrally and consistently, it becomes difficult to determine with certainty at any given moment whether a label is still correct and up to date.
