Sampling - Shipping from outside the EU

For samples shipped to us from outside the EU, special measures may apply and a transport document or import permit may be required.

Shipping from outside the EU

Normec Groen Agro Control is licensed for destructive testing on plants and plant samples. This makes it possible to ship plants and plant products from outside the EU to us for destructive laboratory analysis. In addition, Normec Groen Agro Control has an import license for soil samples from outside the EU.

If you send samples from outside the EU to the Netherlands, you must take into account that the samples have to go through customs. Sometimes sample shipments are delayed because of inspections or because couriers check the required documentation more strictly. Sending your package correctly reduces the risk of delay.

The following describes how to send your package to us. Please contact us for additional questions before sending samples.

Matrices to be sent with import permit:

  • Soil samples: Please contact us for further instructions as this requires a special import permit.
  • Plant parts: See the requirements the package must meet further down this page. It is prohibited to send total plants. Send the roots only separated from the plant or send only the roots, stem or leaves, depending on the research you want to perform.

Matrices that can be sent without an import permit are:

  • Water
  • Unused peat / dried peat
  • Rock wool and other synthetic growing medium
  • Processed products of plant origin
  • Fruit from pineapples, bananas, dates, durian and coconuts

When in doubt or if you want to send us any other type of samples than those described above, please contact us before sending your package. We will then check if additional import requirements need to be met: info.agro@normecgroup.com

IMPORTANT NOTE: Please note that there are prohibited products that cannot be imported into the EU, find the specified lists here.

When preparing your package:

Documents for on the outside of the package Place the documents in a transparent bag with closure and attach it visibly/readably to the OUTSIDE of the package; We recommend that you also add the documents digitally when registering the shipment!

Sample matrices requiring an import permit (e.g. plants and plant samples):

  • In BOX 1, write down your company information and a contact person within your company.
  • In BOX 10, write a unique serial number! For example:

    - "Your Customer Number_year-month-day". Example: 9000_2023-08-29

    - "NGAC_2023_ Your customer number _The number of shipments". Example: NGAC_2023_9000_12

    Each package must have a unique serial number!

  • Also complete the packing list completely.

This document provides important information for customs clearance. Therefore, it is important to fill it out with the correct information:

  • Write down the number of samples, the value of 2€ per sample, add up to....€. We note that packages with a value of 1€ are checked / blocked.
  • Write at the description: for example, "Leaves of tomatoes for destructive measurements". If it is another crop then another crop name at sample type.
  • At description write the 6-digit CPC/HS code.
  • For the type of fruit or samples you can find the CPC/HS code on HS Code, Customs Tariff Number, Taric finder - European Database. Write down only the 6-digit code, not the long version.

Requirements the package must meet

  • The completed LoA form including packing list (for sample matrices requiring an import license)
  • The Proforma invoice
  • The above documents must be attached to the outside of the package in transparent bag.
  • Ensure that the samples are packed in leak-proof packaging.
  • Indicate on the outside of the package the warning text: 'samples for destructive research (plant material), do not open'
  • In the package a completed order form with your company details and what analyses you require.

We advise you to use DHL, this prevents delays.
